Human Agency in AI Council
Effective and last updated: August 17, 2026

Human Agency in AI Council (“HAAIC,” “Council,” “we,” “us,” or “our”) respects privacy as a condition of trust, meaningful choice, and responsible institutional practice. This Policy explains how we collect, use, disclose, retain, and protect personal information through humanagencycouncil.org, our Research Library, forms, events, programs, communications, and related services (the “Services”).

1. Scope

This Policy applies to information collected through the Services and direct interactions with HAAIC. It does not govern third-party websites or services that maintain their own privacy practices.

2. Information We Collect

  • Information you provide: name, title, organization, email, telephone number, location, professional biography, expertise, application or registration responses, correspondence, event preferences, and materials submitted for research, publication, partnership, speaking, membership, enrollment, or volunteer consideration.
  • Program and transaction information: registrations, attendance, participation history, service requests, and records needed to administer an engagement. If payments are accepted, payment information is processed by the relevant provider; HAAIC should not store full payment-card numbers.
  • Technical and usage information: IP address, device and browser information, referring pages, dates and times, pages viewed, link interactions, and cookie or similar-technology data.
  • Appropriate third-party information: professional directories, institutional partners, event hosts, public professional profiles, and referrals, where permitted by law.

3. How We Use Information

We use information to:

  • operate, secure, improve, and evaluate the Services;
  • respond to inquiries and administer engagements;
  • evaluate membership, volunteer, research, publication, partnership, speaking, consulting, and program requests;
  • communicate about Council activities, publications, events, and opportunities consistent with your choices;
  • conduct research, quality assurance, and impact evaluation, using aggregated or de-identified information when reasonably appropriate; and
  • protect people, systems, intellectual property, and institutional integrity and comply with law.

4. Human Agency and Automated Tools

HAAIC may use analytics, automation, or AI-assisted tools to organize information, support communications, improve accessibility, or inform internal review. We do not intend to make consequential membership, participation, publication, or partnership decisions solely through automated processing. Material decisions receive meaningful human review. Individuals may request clarification or correction by contacting us.

5. Legal Bases

Where applicable law requires a legal basis, we process information with consent; to perform a contract or take requested pre-contractual steps; for legitimate interests such as operating, securing, and improving the Services; and to comply with law. Consent may be withdrawn without affecting prior lawful processing.

6. Cookies and Analytics

The Services may use necessary cookies and, where enabled, analytics or preference technologies. Browser controls may permit you to block or delete cookies, although some features may not function properly. Before enabling non-essential advertising or cross-context tracking, HAAIC should provide legally required notice and choice.

7. Disclosure of Information

We may disclose information to service providers supporting hosting, website administration, forms, email, analytics, events, document storage, security, or professional services; to institutional partners when necessary for a disclosed collaboration or event; in an organizational transaction; or to protect rights, safety, security, or comply with law.

We do not sell personal information for money. We do not knowingly share personal information for cross-context behavioral advertising. If these practices change, we will update this Policy and provide required choices before the change applies.

8. Research, Publications, and Public Contributions

Do not submit confidential, proprietary, sensitive, or third-party personal information unless requested and appropriately authorized. If you submit content for publication, attribution, or public participation, we may publish information you expressly approve or that the submission process clearly identifies as public. Research involving human participants should follow an appropriate ethics, consent, and institutional-review process when applicable.

9. Retention

We retain personal information only as long as reasonably necessary for operational, contractual, archival, security, dispute-resolution, and legal purposes. Periods vary by record type and relationship. We may retain aggregated or de-identified information that no longer reasonably identifies an individual.

10. Security

We use reasonable administrative, technical, and organizational safeguards appropriate to the information and context. No online system is completely secure. Do not send Social Security numbers, financial credentials, medical records, or other highly sensitive information by ordinary email or through a general inquiry form.

11. Your Choices and Rights

Depending on your location and applicable law, you may request access, correction, deletion, portability, restriction, or objection; withdraw consent; or appeal a privacy decision. You may unsubscribe from promotional email using the message link or by contacting us. We will not discriminate against you for exercising an applicable privacy right. We may verify identity and retain limited records needed to fulfill and document a request.

Send requests to info@humanagencycouncil.org with the subject “Privacy Request.” Authorized agents should provide authority to act. If a legally required appeal applies, use “Privacy Appeal.”

12. International Visitors

HAAIC is based in the United States. Information may be processed in the United States or other countries where service providers operate. Where required, we will use appropriate cross-border safeguards.

13. Children

The Services are intended for professionals and are not directed to children under 13. We do not knowingly collect personal information from children under 13 through the Services. Contact us if you believe a child has provided such information.

14. Third-Party Services

Links, embedded content, social platforms, document hosts, registration systems, and other third-party services are governed by their own terms and privacy notices. HAAIC is not responsible for their independent practices.

15. Changes

We may update this Policy as practices, technologies, or legal requirements evolve. We will post the revised version with a new “last updated” date and give additional notice when required or when changes are material.
